This Privacy Policy explains how Viva Women's OB/GYN (“Viva,” “we,” “us,” or “our”) handles information collected through vivawomens.com and related web pages (the “Site”). It applies to website visitors and people who submit an appointment request online.

This policy is about the website and marketing tools used on the Site. It is not a full Notice of Privacy Practices for protected health information created in the course of clinical care. Clinical records are handled under applicable healthcare privacy rules and office policies.

If you use the appointment request form, you may provide your name, phone number, optional email address, a general reason for visit selected from a list, and an optional free-text message. We use that information only to respond to your request and coordinate follow-up with our office.

Please do not include Social Security numbers, insurance ID numbers, payment card details, lab results, or other highly sensitive medical details in the online form. If you need to share clinical details, please call the office or wait until you are speaking with our team.

Automatically collected information

Like most websites, our servers and hosting providers may collect technical information such as IP address, browser type, device type, pages viewed, referring URL, and approximate location derived from IP address. We use this information to operate, secure, and improve the Site.

Cookies and marketing technologies

Marketing and advertising technologies on this Site are optional and default to off. Until you choose Accept on our cookie banner, we do not load Google Analytics / Google Ads tags, the Meta Pixel, or CallRail dynamic number insertion for marketing measurement.

If you Accept, we may use cookies and similar technologies to:

Lead events are limited to generic signals such as “a form was submitted” or “a call was tracked.”

Call tracking

When marketing consent is granted, CallRail may replace the displayed phone number with a tracking number that still forwards to our office line. Call recording and SMS on tracking numbers are configured off for this practice unless we notify you of a change. Call metadata (such as time, duration, and marketing source) may be used to understand which ads generate phone inquiries.

How we use information

We use Site information to:

  • respond to appointment and contact requests;
  • operate, maintain, and secure the Site;
  • measure and improve marketing performance when you have consented; and
  • comply with law or protect rights, safety, and property.

Sharing

We do not sell your personal information. We may share information with service providers who help us run the Site and office communications (for example hosting, email/SMS notification delivery, analytics, call tracking, and advertising platforms), only as needed for those services and subject to appropriate safeguards.

We may also disclose information if required by law, legal process, or to protect patients, staff, or the public.

Your choices

Children

The Site is intended for adults seeking obstetric and gynecologic care information or appointments. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site.

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the Site after an update means you acknowledge the revised policy.
